All Employers Registration Policy* Revised: November, 2004
The following policies will apply to employers who wish to register for either a Career Fair (September) or Job Fair (February) co-sponsored by Conestoga College, University of Guelph, University of Waterloo and Wilfrid Laurier University:
- attendance at the Fairs is restricted to organizations representing the recruiting needs of the participating organization. Career Fair is focused on promoting full-time career opportunities. Organizations attending Job Fair must have opportunities available within six months of attending the Fair.
- promotion of services and/or products for any other purpose is not permitted.
- registration for a Fair will be accepted on a first-come first-served basis effective the 3rd Monday of June for Career Fair and the 3rd Monday of November for Job Fair.
- registrations will not be accepted verbally but must be submitted through the Partnerships for Employment Web site or in hard copy on a Fair registration form.
- exhibitors will be restricted to a maximum of two booth spaces per Fair. A full registration fee for the second booth space is required.
- organizations attending the Fair under the same corporate identity will be assigned exhibit space beside each other at the Fair. A maximum of two booths will be assigned to organizations exhibiting with the same corporate identity. These exhibitors may choose to remove the centre panel between booths but are not required to do so.
- Employers are required to pay one of the following registration fees prior to attendance at the Fair: the full registration fee, the fee for members of the Canadian Association of Career Educators and Employers (CACEE), or the fee for Registered Charitable Organizations.
- an organization submitting a "late" payment will be required to submit payment with registration for the next Fair attended. An organization with an outstanding invoice will not be allowed to register for a future Fair until full payment is received for both the past and current events.
- booth assignments are made based on date of registration. Efforts will be made to accommodate special requests for booth location based on availability and registration date.

Agency (Third-Party and Temp) Registration Policy

No third-party recruiters are eligible to participate in either a Career Fair or a Job Fair unless the registration, Guidebook profile and exhibit represents the client name and not that of the agency.
Temp agencies who employ individuals for temporary assignments in other organizations will be eligible to participate in the Job Fair under the following conditions:
- participation will be limited to five temp agencies at a Fair on a first-come, first-served basis
- Fair registration will be confirmed upon receipt of payment
- all temp agencies will be located in the same area at the Fair

Magazine & On-line Job Posting Services Registration Policy

Attendance at Career/Job Fairs as an exhibitor is restricted to organizations representing the recruiting needs of the specific participating organization. Therefore, no magazine or on-line job posting services are eligible to participant in the Fairs.

Professional Associations Registration Policy
Professional Associations representing career areas/designations may attend Career Fair. To attend Job Fair, these associations must have positions available within their organization.

Career Fair/Job Fair Cancellation Fee Policy* Revised: August, 2005
The following policies will apply to employers who register for either a Career Fair or Job Fair co-sponsored by Conestoga College, University of Guelph, University of Waterloo and Wilfrid Laurier University:
- Employers who register for the Fair, who do not show the day of the Fair, and do not notify the organizers at least five working days in advance of the Fair will be required to pay the full cost of registration for the Fair. This policy applies whether or not payment was submitted with the registration form. No registration will be accepted for a future Fair until payment for the unattended Fair is submitted.
- Employers who register for the Fair, who appear in the printed version of the Guidebook, and who cancel at least five working days in advance of the Fair will be required to pay $300 in registration fees only. No registration will be accepted for a future Fair until payment for the unattended Fair is submitted.
- Employers who register for the Fair, who do not appear in the printed version of the Guidebook, and who cancel at least five working days in advance of the Fair will be required to pay $100 in registration fees only, provided the registration confirmation process has been initiated by the organizers. No registration will be accepted for a future Fair until payment for the unattended Fair is submitted.
- Employers who register for the Fair and cancel prior to any registration confirmation process has been initiated by the organizers will incur no costs.

Severe Weather Policy

Since the introduction of the University/College Career and Job Fairs in 1994, no Fair has ever been cancelled. However, the Career and Job Fair Steering Committee reserves the right to cancel a Fair based on severe weather conditions which result in the closure of one or more of the partner institutions (Conestoga College, University of Guelph, University of Waterloo and/or Wilfrid Laurier University).
In the case of event cancellation by the Steering Committee, participating organizations who have submitted a payment of registration at the time of cancellation will be offered, in lieu of and at no additional cost, participation at one of the two subsequent Fairs pending registration eligibility (see All Employers Registration Policy). No registration fee refunds will be issued.
Neither a refund nor a compensatory registration at an upcoming Fair will be issued if the Fair is in operation and an exhibitor is unable to attend due to severe weather in his/her geographical region.

Guidebook Submission Policy
The following policies will apply to employers who register for either a Career Fair or Job Fair co-sponsored by Conestoga College, the University of Guelph, the University of Waterloo and Wilfrid Laurier University:
- Employers are entitled to one guidebook submission included in the registration fee, ensuring that the style and length are similar to the template provided with each registration package.
- Employers who are sharing a booth or promoting their subsidiaries and would like an additional Guidebook submission are required to pay $300 for each additional submission. These additional organizations/subsidiaries must also have a representative at the Fair.
- Employers who register for a double booth are entitled to either two Guidebook submissions or double the word limit of one submission.

Booth Selection by Employer Registrants Policy

Organizations requesting two booths (maximum) at the time of registration must select booths which are adjacent to each other on the floor plan. In the case of multiple divisions within the same organization who register independently, booths may be located in separate areas on the floor plan but it is recommended that they be adjacent where possible to create maximum exposure with attendees. In the case of multiple division registration, only two booths in total are permitted per organization.
