In addition to the organization profile included with your registration you can purchase an advertisement in the print guidebook. Approximately 4,000 guidebooks are distributed to students and alumni of the four sponsoring institutions; it is our main promotional piece on campus prior to the event.
Ads are black and white and either half or full page (sizes and pricing is below). The deadline to submit an advertisement is August 27, 2019.
Half Page (7.5” x 4.75”): $275
Full Page (7.5” x 9.5”): $475
All participating organizations are encouraged to bring a sufficient supply of recruitment material as no printing facilities are available on site.
Advance shipments of materials may be delivered to RIM Park Waterloo starting on Monday, September 23, 2019. No shipments will be accepted prior to this date.
Return shipments are the responsbility of the exhibitor. No materials may remain at the facility beyond 4:30 pm on the day of the Fair, September 25, 2019.

Participating organizations are responsible for supplying their own equipment. Audio-visual equipment, booth accessories, display materials, and exhibit systems (page 1, page 2) may be rented by contacting Hahn Rentals at 519.746.8955 or 1.800.563.4246. For a list of services offered, please visit www.hahnrentals.com. Hahn Rentals will invoice organizations directly for any additional rentals.
The electrical supply consists of one 15 amp 110 volt receptacle. Any electrical equipment use must be in compliance with the Ontario Electrical Safety Code and subject to inspection on site. Please refer to this Electrical Safety Authority resource.
Booth signs are the responsibility of the participant. Signs may be ordered through Bob's Posters & Signs, a Waterloo Region company. Contact Rob Read at 519.746.5620 or firstname.lastname@example.org to discuss your needs. Participants will be invoiced directly.
Each representative will be provided a wristband to allow access to the employer lounge and re-entry to the fair. Exhibitor identification badges are available if needed. Badges are not personalized but will accommodate business card insertion.
Representatives may arrive anytime after 8:00 am for set-up. The Exhibit hall has a designated unloading area and assistance will be available. Booth hours are from 10:00 am to 3:30 pm.
Refreshments will be available throughout the day. A full breakfast will be provided between 8:30 am and 10:30 am. Lunch will be available between 12:00 noon and 2:00 pm.
For employers travelling from out of town and who wish to stay in the Kitchener-Waterloo area, please refer to the list below of hotels that may be of interest. Due to conferences and other large events in this region, it is advisable to book your rooms early for the most suitable accommodations.
Driving directions and a map are available online. Parking is free and additional overflow lots are available a five to ten minute walk from the event; a shuttle bus will run on a continuous loop from the overflow lots from 10 am to 4 pm.
If you have items to unload follow signs to the loading dock, staff will be available to assist you.
