Costs & Essential Information


Standard registration fee of $795 (CDN) plus HST.  A limited number of premium booth locations are available for an additional fee of $100. Registration includes the following:
  • 10’ x 10’ draped booth area, all display materials and recruitment activities must take place within your booth area
  • a 6’ skirted table with two chairs
  • Wi-Fi
  • one electrical outlet
  • organization profile in print (if submitted by deadline), online and in mobile app
  • promotion on all four campuses
  • full breakfast, lunch and refreshments (max. four representatives)
  • parking
Due to space limitations we do not recommend bringing more than four representatives per booth. An organization may have more than four representatives in a booth but a charge of $30 plus HST is applied for each additional representative. Please contact to make arrangements for additional representatives if this information was not included on the registration form when submitted.

If you are a member of the Canadian Association of Career Educators and Employers (CACEE), you can register for this Fair at the reduced fee of $745 (CDN) plus HST.

If you are a Registered Charitable Organization, you can register for this Fair at the reduced fee of $545 (CDN) plus HST.

Organization Profile

An organization profile is included with your registration and provides an opportunity to inform students and alumni about your organization and the roles you typically recruit for. Information you provide will be available in the print guidebook (distributed on campus prior to the event and at the Fair), on this website, and through the Fair mobile app. The deadline for inclusion in the print guidebook is firm: September 1, 2020. 

Additional Advertising

Print Guidebook Ad

In addition to the organization profile included with your registration you can purchase an advertisement in the print guidebook. Approximately 4,000 guidebooks are distributed to students and alumni of the four sponsoring institutions; it is our main promotional piece on campus prior to the event.

Ads are black and white and either half or full page (sizes and pricing is below). The deadline to submit an advertisement is September 1, 2020.

Half Page (7.5” x 4.75”): $275
Full Page (7.5” x 9.5”): $475


Featured Employer Ad
Your organization ad or logo will rotate on the P4E website homepage and will hyperlink back to your organization’s website. The cost to become a featured employer is $100 (CDN) plus HST. Your ad/logo will remain on the P4E website until October 28, 2020. The deadline to become a featured employer is September 28, 2020.  However, for maximum exposure, we recommend early submission of your ad/logo. 

Recruitment Material

All participating organizations are encouraged to bring a sufficient supply of recruitment material as no printing facilities are available on site.


Shipping of Display Units/Materials

Advance shipments of materials may be delivered to RIM Park Waterloo starting on Monday, September 28, 2020No shipments will be accepted prior to this date.  

Return shipments are the responsbility of the exhibitor. No materials may remain at the facility beyond 4:30 pm on the day of the Fair.

Audio-Visual Equipment

Participating organizations are responsible for supplying their own equipment. Audio-visual equipment, booth accessories, display materials, and exhibit systems (page 1, page 2) may be rented by contacting Hahn Rentals at 519.746.8955 or 1.800.563.4246. For a list of services offered, please visit Hahn Rentals will invoice organizations directly for any additional rentals.

Electrical Supply

The electrical supply consists of one 15 amp 110 volt receptacle. Any electrical equipment use must be in compliance with the Ontario Electrical Safety Code and subject to inspection on site. Please refer to this Electrical Safety Authority resource.

Booth Signs and Nametags

Booth signs are the responsibility of the participant. Signs may be ordered through Bob's Posters & Signs, a Waterloo Region company. Contact Rob Read at 519.746.5620 or  to discuss your needs. Participants will be invoiced directly.

Each representative will be provided a wristband to allow access to the employer lounge and re-entry to the fair. Exhibitor identification badges are available if needed. Badges are not personalized but will accommodate business card insertion.

Booth Set-up & Hours

Representatives may arrive anytime after 8:00 am for set-up.  The Exhibit hall has a designated unloading area and assistance will be available. Booth hours are from 10:00 am to 3:30 pm.

Refreshments & Lunch

Refreshments will be available throughout the day. A full breakfast will be provided between 8:30 am and 10:30 am. Lunch will be available between 12:00 noon and 2:00 pm.

For employers travelling from out of town and who wish to stay in the Kitchener-Waterloo area, please refer to the list below of hotels that may be of interest. Partnerships For Employment neither endorses a particular establishment nor negotiates accommodation rates. Due to conferences and other large events in this region, it is advisable to book your rooms early for the most suitable accommodations.

Driving Directions & Map

Driving directions and a map are available online. Parking is free and additional overflow lots are available a five to ten minute walk from the event; a shuttle bus will run on a continuous loop from the overflow lots from 10 am to 4 pm. 
If you have items to unload follow signs to the loading dock, staff will be available to assist you.
