Costs & Essential Information


Standard registration fee of $795 (CDN) plus HST includes the following:

  • 10’ x 10’ draped booth area.  For an additional fee of $100, a premium booth location is available.
  • a 6’ skirted table with two chairs
  • Wi-Fi
  • one electrical outlet
  • Employer Guidebook submission in print (if submitted by deadline), online and in CareerFairPlus mobile app
  • promotion on all four campuses
  • full breakfast, lunch and refreshments (max. four representatives)
  • parking

An organization may have more than four representatives in a booth but a charge of $30 plus HST is applied for each additional representative.  However, due to space limitations in the booth, a maximum of four is recommended.  Please  contact to make arrangements for additional representatives if this information was not included on the registration form when submitted.

If you are a member of the Canadian Association of Career Educators and Employers (CACEE), you can register for this Fair at the reduced fee of $745 (CDN) plus HST.

If you are a Registered Charitable Organization, you can register for this Fair at the reduced fee of $545 (CDN) plus HST.

Employer Guidebook

An Employer Guidebook will be published to inform students and alumni of participating organizations. Inclusion is optional, but strongly recommended. The Guidebook will be available in advance and at the Fair, on this website, and can also be accessed through the Fair mobile app. The Employer Guidebook submission is included with your registration fee. Deadline for inclusion in the printed version of the Guidebook is firm: January 9, 2018

Recruitment Material

All participating organizations are encouraged to bring a sufficient supply of recruitment material as no printing facilities are available on site.

Advance/Return of Display Units/Materials

Advance shipments of materials may be delivered to RIM Park Waterloo starting on Monday, February 5, 2018No shipments will be accepted prior to this date.  

Return shipments are the responsbility of the exhibitor. No materials may remain at the facility beyond 4:30 pm on the day of the Fair, February 7, 2018.

Audio-Visual Equipment

Participating organizations are responsible for supplying their own equipment. Audio-visual equipment, booth accessories, and exhibit systems may be rented by contacting Hahn Rentals at 519.746.8955 or 1.800.563.4246. For a list of services offered, please visit Hahn Rentals will invoice organizations directly for any additional rentals.

Electrical Supply

The electrical supply consists of one 15 amp 110 volt receptacle. Any electrical equipment you are using must be in compliance with the Ontario Electrical Safety Code and subject to inspection on site. Please refer to this Electrical Safety Authority resource.

Booth Signage and Nametags

Booth signage is the responsibility of the participant. Signage may be ordered through Bob's Posters & Signs, a Waterloo Region company. Contact Rob Read at 519.746.5620 or  to discuss your needs. Participants will be invoiced directly.

Each representative will be provided a wristband to allow access to the employer lounge and re-entry to the fair. Exhibitor identification badges are available if needed. Badges are not personalized but will accommodate business card insertion.

Booth Set-up & Hours

Representatives may arrive anytime after 8:00 am for set-up.  The Exhibit hall has a designated unloading area and assistance will be available. Booth hours are from 10:00 am to 3:30 pm.

Refreshments & Lunch

Refreshments will be available throughout the day. A full breakfast will be provided between 8:30 am and 10:30 am. Lunch will be available between 12:00 noon and 2:00 pm.

Branding Opportunities

Featured Employers on P4E website

Your organization ad and/or logo will rotate on the P4E website homepage and will hyperlink back to your organization’s career page or main website.   

The cost to become a featured employer is $100 (CDN) plus HST. Your ad/logo will remain on the P4E website until March 15, 2018. The deadline date to become a featured employer is February 5, 2018.  However, for maximum exposure, we recommend early submission of your ad/logo. 

Advertising in the Employer Guidebook

In addition to your Guidebook submission which profiles your organization, you can also promote your organization through an advertising supplement in the Employer Guidebook. Approximately 4,000 guidebooks are distributed to students and alumni of the four sponsoring institutions, it is our main promotional piece on campus prior to the event. The deadline to submit an advertising supplement is January 9, 2018.
